Executive Summary

The SmartStart Teacher Academy is an Erasmus+ project dedicated to equipping teachers and teacher trainees across Europe with the competencies to integrate AI-based digital media into daily classroom practice. Through a consortium of teacher education institutions in seven European countries, the project fosters innovation, transnational cooperation, and quality in teacher training.

To achieve its objectives, SmartStart has established a clear and robust governance structure, consisting of three core bodies:

  • The SmartStart Board, which provides strategic direction, ensures alignment with Erasmus+ priorities, and approves key deliverables and policy decisions.
  • The Project Management Team (PMT), responsible for daily coordination, progress monitoring, and operational decision-making across all work packages (WPs).
  • An independent Expert Panel, composed of specialists from education, AI, psychology, and policy, which advises on pedagogical quality and innovation, and guides curriculum and tool development using a Design Thinking approach.

A comprehensive implementation plan coordinates activities across interdependent WPs, covering areas such as AI tool development (Babylon), curriculum design, training implementation, school engagement, dissemination, and digital infrastructure. Responsibilities, timelines, and cross-WP dependencies are managed using a central Gantt chart and structured communication channels.

To ensure excellence, SmartStart has embedded a detailed Quality Assurance and Monitoring & Evaluation (M&E) strategy. This includes:

  • Standard Operating Procedures (SOPs),
  • Internal and external quality audits,
  • SMART indicators, and
  • Baseline, mid-term, and final evaluations.

Monitoring tools include progress reports, surveys, interviews, classroom observations, and document analysis—enabling continuous improvement throughout the project.

Communication is facilitated by a suite of tools and protocols:

  • A multilingual Babylon AI translation tool,
  • A centralized online intranet.

Regular email updates

  • Monthly consortium calls and PMT meetings,
  • Annual in-person workshops, and
  • Formal reporting routines aligned with EU requirements.

A dynamic risk management plan identifies and mitigates project risks in real time, covering potential challenges such as delays, low engagement, technological limitations, and GDPR compliance. Risks are tracked through a live risk register and addressed collaboratively in monthly PMT meetings.

By aligning rigorous management structures, inclusive collaboration practices, and a proactive quality and risk framework, SmartStart is well positioned to deliver an impactful, future-oriented teacher training model. The project’s outcomes are designed to be sustainable and replicable, strengthening digital pedagogical capacity and educational innovation across Europe.
